It Has to Match Your Workflow to Work
“It looked great on the demo but once we tried to use it, it just didn’t fit how we work.”
We hear this one a lot. You buy a tool that ticks all the boxes. It’s got modern features, slick design, and strong reviews. But once it’s live, something feels off. The team struggle to use this new, cool recruitment tech. It’s clunky in real scenarios. It slows things down instead of speeding them up. And eventually, you find yourselves working around it, not with it.
Great tech, bad fit
It’s not always a bad tool. Sometimes it’s just the wrong tool for your way of working.
We’ve seen agencies buy software built for in-house HR, not recruitment workflows.
We’ve seen outreach tools designed for high-volume transactional roles rolled out in search-led, consultative firms.
We’ve even seen CRMs that were strong in theory but didn’t line up with how consultants actually run their day.
Real example: workflow mismatch
One agency we worked with bought a feature-rich referencing tool. The aim was to streamline admin and free up consultants’ time.
But in practice, it added too many steps. Consultants had to log into a separate portal, re-enter details already in the CRM, and wait for approvals. It didn’t suit their process and it slowed them down.
Within three months, usage had dropped to near zero. They went back to manual checks and quick phone calls.
The tech wasn’t bad. It just wasn’t aligned to their day-to-day workflow.
What to do instead
When you’re choosing new tech, the number one question shouldn’t be what can it do? But how will it actually fit into our day?
Here’s how to get that right.
1. Map your current process
From first outreach to final invoice, what steps do your team take? Where do delays happen? Where could tech really help?
2. Test with real scenarios
Don’t just click through the sales demo. Run an actual workflow through the system. A candidate submission, a client brief, a placement. Does it fit? Does it flow?
3. Involve your consultants
They know what slows them down and what shortcuts they take. If the tool doesn’t feel natural to them, adoption will suffer.
4. Look for flexibility
Avoid rigid systems that force you to change everything to fit them. The best tech adapts to your way of working, not the other way around.
5. Review before rollout
Even if it looks good on paper, take time to pressure test it. Does it remove steps or add them? Does it make the consultant’s life easier or more complicated?
