How to Market Recruitment Tools Internally So They Actually Get Used

“We rolled out some new tech , but nobody really used it. It just sat there.”

Sound familiar? You’re not alone. Plenty of agencies spend time and money on new recruitment tech that promises to change the game. But once it’s live, nothing really changes. The team barely touches it. In the end, it feels like a waste.

The tech didn’t fail. The rollout did.

Most of the time, it’s not the tool itself that’s the problem. It’s how it was introduced.

You know your market. You know your people. But in the rush to improve and grow, it’s easy to miss a simple truth:

If people don’t understand why the tech matters to them, they won’t use it.

That goes for your consultants, your clients, and your candidates.

What happens when you skip the marketing bit?

Let’s say you roll out a tool that helps your team track shortlists in real time. Great idea. But:

  • The team don’t see the value
  • Your team forgets to explain it properly
  • There’s no training or video guide
  • Nobody follows up to check they’re using it

After a few weeks, it quietly disappears into the background. Nobody talks about it. Nobody uses it. You’ve paid for something that’s adding no value.

We’ve seen this story play out again and again.

New Recruitment Tech Fail: Real example

One agency we spoke to invested in a tool. On paper, it looked ideal. But they didn’t promote it properly to clients or candidates. No real comms plan. No warm-up. No context. So uptake was poor and the results were worse. It ended up being shelved before it really had a chance.

What made the difference? Not the tech itself, but how it was rolled out.

What to do instead

When you launch a new tool, you’re not just switching something on. You’re asking people to change how they work. That takes more than an email.

Here’s what works:

1. Create a clear value message

What problem does this solve for your team? Your clients? Your candidates? Your bottom-line? Say that out loud, early and often. If people don’t see how it helps them or adds value, they won’t care.

2. Warm people up

Don’t drop new tech on people without warning. Tease it. Preview it. Talk about the benefits before it goes live. Show them what’s coming and why it matters. Build the hype.

3. Make it part of your sales pitch

If it’s client-facing, build it into your BD conversations. “We don’t just send CV. You get access to a live shortlist platform that shows you real-time progress.” Give it some weight.

4. Train your team properly

A 20-minute demo isn’t enough. Create simple cheat sheets. Pick out ‘super users’ who can help others. Keep the support going well beyond the first week.

5. Get feedback fast

Find out what’s working and what’s not, early. Then fix it. Your users will feel heard, and you’ll avoid issues getting baked into your process.

6. Keep shouting about it

Don’t launch it and go quiet. Mention it in team meetings. Use case studies. Share wins. Incentivise usage. Keep it visible until it becomes part of everyday life.
