Make sure key fields are used consistently; job titles, statuses, industries. Create dropdowns or options where you can to avoid free typing.

3. Clear out the junk

Archive or delete old contacts you haven’t engaged with in years. Remove clutter that no one uses. Focus on quality, not quantity.

4. Build rules for future input

Set expectations around how data is entered. When to update a contact, how to log a call, what counts as “active”. Make it part of the onboarding and training. Maybe even find a way to incentivise data quality.

5. Clean before you automate

Before you launch any new tech that relies on data (automation, AI, reporting) clean the source first. Otherwise you’ll be speeding up the wrong process.
