Why Long-Term Contracts Could Be Holding Your Agency Back
“We signed a 3-year contract with a new platform. Six months in, we knew it wasn’t right. But we were stuck.”
We hear this one a lot. An exciting demo, a persuasive sales pitch, a bit of pressure to ‘lock in savings’… and suddenly you’ve committed to 2, 3, even 5 years of a system that doesn’t quite work. Now the team’s frustrated, the value’s missing, and switching isn’t an option without big penalties. Have you found yourself locked into the wrong recruitment tech?
Long-term tech contracts sound safe. But they often backfire.
In theory, longer deals give you price certainty and supplier stability. But in practice, they usually do the opposite.

One agency told us they signed a five-year contract for a compliance platform based on an FD’s recommendation. No trial. No real research. Just a good price and a convincing pitch.
But within a year, it was clear the system didn’t do what they needed. Workarounds started. Frustration built. But with two years left on the contract, they had no choice but to stick it out.

What to do instead
There’s nothing wrong with commitment when it’s based on real value. But here’s how to protect your agency before you sign on the dotted line.
1. Avoid long-term contracts up front
If you’re trialling a new platform or supplier, see if you can lengthen the trial or cut a deal on a short contract 12 months max. Give yourself a clean exit route if it doesn’t deliver.
2. Push for a proper trial
Don’t rely on the sales demo. Get a real test, with your data and your team. Been offered 14 days free trial? What the hell can you learn in 14 days! Push for more so know if the tech actually is actually right for you.
3. Build review points into the deal
If a vendor insists on a longer contract, ask for break clauses or structured reviews at key milestones. Get it in writing. If you don’t ask, you don’t get.
4. Don’t skip due diligence
Look beyond the features. What’s the vendor’s support like? What are other agencies saying? Will it grow with your business?
5. Ask for a second opinion
Get input from your IT partnerm, virtual CIO or even a lawyer. They’ll spot things in the fine print (or in the tech stack) that you might not.
